This Privacy Policy explains how ExpatPostal ("ExpatPostal," "we," "us," or "our"), operated by Metro Business Services LLC, collects, uses, stores, shares, and protects personal information when you use our website, customer portal, digital mailbox, mail scanning, document handling, package notification, pickup, coworking delivery, residential address add-on, and related services.
ExpatPostal is a private U.S. mail access and document-handling service for Americans living abroad. ExpatPostal is not affiliated with the United States Postal Service, any government agency, any bank, any financial institution, or any money transmission service.
By using ExpatPostal services, creating an account, purchasing a plan, submitting identification documents, receiving mail, requesting scans, requesting package pickup, using coworking delivery, or otherwise interacting with our services, you acknowledge the collection and use of information as described in this Privacy Policy.
2. Our Role and Third-Party Service Providers
ExpatPostal uses third-party platforms and operational service providers to support account management, digital mailbox access, mail notifications, billing, identity verification, customer communications, and service delivery.
We currently use Innbocks as a third-party mailbox software platform to support customer account management, mailbox records, plan selection, notifications, billing workflows, and customer portal access. Innbocks may process account-related information and digital records as necessary to operate the customer portal, but Innbocks does not physically handle mail or packages.
We may also use payment processors, email/SMS providers, hosting providers, analytics tools, form tools, identity verification providers, postal or mailbox partners, shipping carriers, coworking partners, and other operational vendors as necessary to provide the service.

4. Mail Scanning and Digital Mail Records
Standard mail scanning is included in ExpatPostal membership plans. Because standard mail scanning is part of the service, we may collect, process, and store digital images of eligible mail items, envelope images, sender information, scan records, and related mailbox activity data.
Digital scans are provided through the customer mailbox system for customer access, account management, operational recordkeeping, fraud prevention, and service support.
Certain sensitive physical items, including credit cards, government IDs, driver licenses, checks, packages, and other approved physical documents, are not treated as standard mail scans and may be handled through Important Document Handling or other approved procedures.
5. Junk Mail, Magazines, and Discarded Items
Advertisements and junk mail may be automatically discarded as part of normal mail processing procedures. Basic mail metadata, processing records, or operational logs may still be retained where necessary for account history, audit, fraud prevention, service improvement, or dispute resolution.
Magazines are not treated as standard mail. Magazine retention may require the Magazine Handling Add-On. Magazine records may be stored within the customer account for operational tracking, package allowance management, and service support.
6. Check Scan Service
Eligible members may request secure scans of checks received through ExpatPostal. If you request Check Scan Service, we may process and store images of the front and back of a check for the limited purpose of making those images available to you through your secure mailbox account.
ExpatPostal is not a bank, financial institution, money transmitter, or check-cashing service. ExpatPostal does not deposit, process, cash, endorse, negotiate, or transmit checks or check proceeds. Members are responsible for using their own financial institution and complying with that institution's rules.
7. Important Document Handling
ExpatPostal may process records related to Important Document Handling, including approved sensitive physical items such as credit cards, government IDs, driver licenses, checks, legal documents, financial documents, and other essential items received through the service.
Important Document Handling records may include item type, receipt date, handling request, customer authorization, disposition, pickup or delivery status, and fee records.
8. Package Storage, Pickup, and Delivery Records
We may collect and maintain package records, including carrier information, tracking numbers, package status, package size or weight information, pickup records, storage records, delivery records, coworking delivery records, and fee records.
Packages are stored for up to 5 days after notification. Packages held after the 5-day storage period may be billed at $5 per day, per package. Records related to package storage periods, late storage charges, pickup appointments, and release confirmations may be retained as part of operational account history.
For security reasons, certain storage and pickup location details may not be publicly disclosed. We may process appointment records, pickup confirmations, authorization records, and identity verification details related to item release.
9. Coworking Delivery
If you use coworking delivery services, we may share limited information with approved coworking partner locations as necessary to coordinate delivery, verify eligibility, manage delivery schedules, and release items.
Information shared with coworking partners may include member name, mailbox or account identifier, package or item availability, delivery date, pickup confirmation details, and other limited information necessary to complete the service. Coworking partners are expected to use this information only for approved ExpatPostal service purposes.
10. Residential Address Add-On
Residential Address Add-On services are available only on eligible plans, currently Premium and Household memberships. If you use the Residential Address Add-On, we may process additional address-related records, account eligibility information, and documentation related to address services.
ExpatPostal does not guarantee that any address will be accepted by banks, government agencies, financial institutions, payment processors, credit bureaus, residency programs, or third-party verification systems. Any third-party acceptance or rejection of an address is outside ExpatPostal's control.
11. How We Use Information
We use personal information and service records to:
- Provide mailbox, mail access, mail scanning, package notification, pickup, coworking delivery, and document handling services
- Verify identity and eligibility
- Comply with postal, legal, tax, accounting, fraud prevention, and operational requirements
- Create and maintain customer accounts
- Process payments, subscriptions, add-ons, fees, and storage charges
- Notify customers about mail, packages, scans, billing, account status, pickup appointments, and support requests
- Provide customer support and resolve disputes
- Prevent fraud, abuse, prohibited use, or unlawful activity
- Protect customer privacy, mail security, and operational integrity
- Improve our website, portal, services, communications, and customer experience

We do not sell customer personal information, mailbox data, document scans, package records, or identity verification information.
14. Payment Information
Payment information is processed by our payment provider. ExpatPostal may receive payment status, billing history, subscription information, transaction IDs, and related billing records, but we do not store full payment card numbers unless expressly provided by a payment provider under its secure system.
15. Cookies, Analytics, and Website Tracking
We may use cookies, pixels, analytics tools, and similar technologies to understand website usage, improve the site, measure marketing performance, prevent fraud, and support customer experience. You may control certain cookie settings through your browser or device, but disabling cookies may affect website or portal functionality.

We retain records for as long as necessary to provide services, comply with legal, postal, tax, accounting, fraud prevention, and business recordkeeping obligations, resolve disputes, enforce agreements, support customers, and protect our business.
Retention periods may vary depending on the type of record, legal requirements, account status, service history, dispute status, payment status, fraud prevention needs, and operational requirements. We may retain account records, mail records, verification documents, package records, support history, billing records, and operational logs after account termination where necessary or legally permitted.
17. Security
We implement reasonable administrative, technical, and physical safeguards designed to protect personal information, mail records, document scans, identity verification records, package records, and account data.
These safeguards may include access controls, secure account systems, limited staff access, vendor controls, physical handling procedures, and secure communication processes. However, no system, storage method, transmission method, or communication channel is completely secure.
You are responsible for protecting your account credentials and notifying us promptly if you suspect unauthorized access to your account.
18. International Data Transfers
Because ExpatPostal serves Americans living abroad and uses third-party service providers, information may be processed or accessed in the United States or other countries where our providers operate. Where required, we use appropriate safeguards for international data transfers, which may include contractual protections or other lawful transfer mechanisms.
